View Full Version : Trainer re-scheduled w/2hours notice

I got a call at 4:30 to call the trainer. I called him back, and he asked if we could re-schedule my 6:30 consultation to Saturday morning. I said fine, but was wondering if it's normal to have to reschedule with such short (to me) notice.

Never had a trainer and never will, but I wouldn't imagine it would be a regular occurance.
My work has trainers that come in and they are flakey as hell about keeping appts. I imagine that is one of the things that seperates the good ones from the dumb asses.

I had stuff like that happen...except it was hit or miss if he'd call ahead of time, or just not show up until halfway through the session. They have your money, they don't care anymore.

Um...yeah....just like any profession...sometimes you have to reschedule :shrug: It's not like he just didn't show up :scratch:

I would think that anyone who called me at 4:30 am would have a very good reason to do so.Maybe an emergency came up.Give them the benefit of the doubt.

Oops! I'm sorry. It was 4:30 PM for a 6:30 pm appointment. I haven't paid him yet, as this was our consultation. He just sounded so casual about it that it made me wonder. We'll just see what happens tomorrow morning. Thanks.

my trainer has done this to me, in fact I went in for a session one day and i was waiting a good 15 min when he walks in with a nother client, they had been out running on the streets, and looked at the lady next to me and sai, oh! sorry I forgot about about our appt! I was like WTF? I had an app with you 15 min ago.... :mad: the other ladyt ended up just leaving, and i got like 15 min of my session :curse: i fired him shortly after for other reasons :rolleyes:

When I was training, I gave my clients 24hr notice both ways, if I canceled on them with less then 24hr, I gave them a free session.
I'd say you might want to rethink about hiring this trainer, time management is huge and if they've already over booked themselves this could lead to other fast cancelations in the future.
A lot of trainers are complete idiots, but some aren't. It's like any profession. I'd recommend to watch this trainer work with clients before signing with him/her. You'll get a feel of attentiveness and if that person actually cares about what they do. Just my $.02 :cool:

I think if this is the first incident then give him some slack. Ya never know what someone might have going on in their life. If it becomes a common occurance, then you need to have a chat with him. :)

As long as he's willing to let you reschedule your appointments only 2 hours in advance, it's fine if you want that kind of flexibility.

Thanks everyone. I'll see what happens tomorrow. It's a consultation, and if I don't like the way he works, I don't have to sign up for any sessions. I'm sure I'll be out however much $ for the consultation, but oh well. Maybe there was a good reason. I like to give people a chance. I just wanted to make sure that this was acceptable in the area of training. This seems like a nice place, with one on one training.
A consultation should be free :huh:

Not, to be rude, but you said the trainer sounded very "casual" when he called; well how else would expect someone to be on the phone when they call you to reschedule? Do you think someone would call a new client in a PANIC, crying and freaking "OH MY GOD, I AM SO SORRY, but do you think we can reschedule for tomorrow? Something has come up! :crying:" ??? No, probably not, and if they did you'd just say they were unprofessional.
Anyway, that wasn't the question, so more along those lines, I'm gonna say it is shitty that they called and rescheduled, but yes it happens sometimes. I'm not sure what your gym's policy is, but since it was your consult and therefore your irst session, I'm going to mention that at the gym I used to work at, our policy was that we were NOT allowed to cancel or reschedule our client's FIRST appointment unless there was an emergency bad enough that it was beyond our control for us to be there(ie car accident or death basically...our own, not someone elses) and we would HAVE to find a different trainer to take that appointment....That said, my boss was hardcore, so I don't know how hardcore your gym is.
Oh, and like Leah said, your consultation should be free.

I know what you mean. What I said sounded dumb. It was just very, "hey, can we reschedule to Saturday? Great, bye". I think it's because I'm a very meek, apologetic person, and I'm thinking of what I would do in that situation. It is a normal thing, but I think I was just worried because it was my first session and already I'm being rescheduled.
As far as the consult being free, I was surprised that it was going to be a 2 hour consultation, so I didn't think they would do anything like that for free. Nothing is ever free anymore! :oops:

People who cancel appointments drive me crazy!!!! Seriously, if it is a solid reason - like my kid woke up with the flu - fine, but when it is not a good reason or it happens regularly I can't deal with it. When I had a trainer she failed to recognize that I had to schedule my entire day around that appintment too. Before you sign on with him discuss his cancellation policy.

I don't understand why he would reschedule your first session. The gym I worked at would never have alloed that. They would have made him call you and say "I am sorry, I will not be doing your consult, but Billy here is going to do it, and he's better than I am so you are going to love him. I hope that's not too much of an inconvenience". We never cancelled clients unless it was a huge deal. And only if they said they would rather cancel than work with someone else. On a first session it's usually not a big deal, unless you have requested a certain trainer for a certain reason(which in my opinion should be the way to go...I don't like the idea of people just being thrown with a trainer...hense why I hate the idea of training for the most part, because at a lot of people who don't know jack squat are getting paid the same as someone who is pretty good[by training standards])

But did you ASK for this consultation, or did they say "we are going to schedule you for your consultation" ?? Unless you asked for it specifically, I don't see any reason why you would pay for that. And 2 hours?? :blink: what the hell for?

Agreed, 100%, but keep in mind that trainers get cancelled on SOOOO much at the gym, without any notice at all. It goes both ways. For some people that is their livelihood. I'm not condoning them cancelling because they are apparently supposed to be a "professional" but what happens if they have 9 hours worth of clients scheduled and 4 don't show up? They get paid for the 5 hours they train people....and they don't get paid for appointments that cancel. So 9 hours worth of pay just became 5 by no fault of their own. Anyway, that's a whole 'nother can of worms...

This place has maybe 4 people on staff, well, according to their website. It's all one-on-one training, not a public gym. When I called, I told him I was interested in their services, and he said we can schedule a consultation, which will be 2 hours. That's all. I asked about sessions, and I guess it's in terms of "packages" that you buy.
I thought the place was pretty reputable, since Kara Wolters (former college basketball player, now pro) trains/trained there. I figured she could use anyone in the state, why them?

I would still interview them before paying. Make sure they are reputable. Don't just assume because someone else uses them. Ask them good questions.

Did he "ask" you if you could reschedule, or did he cancel on you?
If you had said no, you want the appointment at 6:30, would he have honoured that?
Let's say he was booked all afternoon. His 3:30 was a no-show, his 4:30 just called to cancel, he had an hour off, then you were the last appointment. Instead of sitting there for hours (unpaid hours!) I see no problem with him asking if he could schedule you in for another time. As long as he was willing to take no for an answer. It never hurts to ask.

Like any job, emergencies come up. I think in that type of situation, I wouldn't "expect" a freebie. If I can accomodate, I do. If not, I say so. If the "rescheduling" becomes a habit/frequent, I state this and start looking for a new trainer.

Ive never scheduled with two hours notice, but I have scheduled on short notice (i.e. that day). Things happen.
Sometimes, I get a consulation written in by the fitness counselors, but it happens that I already have a client that time that I either A) forgot to write in, B) had to reschedule and I really need the money (you get paid way more for training than consultations, or C) have some issue where I need to put someone else there.
Sometimes the counselors will schedule someone outside of the times we highlight for availabilty, and that will surely get rescheduled unless you really need the money.
